Administrative Assistant Logistic support (M/W) 

 

 

Enabel is the Belgian Agency for International Cooperation. It carries out Belgian governmental cooperation. The Agency also implements actions for other national and international organisations. Together with its Belgian and international partners, Enabel provides solutions to address pressing global challenges: climate change, urbanisation, human mobility, peace and security, social and economic inequalities, and global citizenship. Context

 

Enabel is implementing a new project funded by the European Union in The Gambia. 
The “Boosting Gambian Talents” project aims to strengthen Gambian human capital notably through the operationalization of short-term mobility programs, business development support services and financial services. The project will also promote an evidence-based dialogue on mobility and entrepreneurship.

The project implementation requires strong multi-partnership engagement. Actors from the economic, entrepreneurial, diaspora, and migration areas, all have their place, at different points in the preparation, implementation and follow-up.

 

Job description

 

As an Administrative Assistant Logistic support, the selected candidate will: 

 

•    Provide logistical support for the implementation of the mobility schemes for project beneficiaries;
•     Facilitate the acquisition of the appropriate visas for project staff and beneficiaries (individuals and public organization staff) engaging in short term mobilities under the project. 
•    Organize business trips, partnership missions and innovation tours under the supervision of the project manager (program of visit, air tickets, accommodation, transport etc.)
•    Serve as the main contact person for the Belgian Embassy in Dakar, Senegal and Honorary Consulate of Belgium in The Gambia for visa procedures; 
•     Serve as the main contact person for the Gambian Embassy in Belgium, MOFA and Gambia Immigration department of The Gambia to facilitate the acquisition of  Gambian visa & entry permits for non- Gambians;
•    Maintain mobility schedules and ensure compliance with Enabel travel policy;
•    Assist in budget planning for travel and logistics;
•    Carry out various administrative and clerical support tasks related to facilitated mobilities (filing, archiving, follow-up of documents…) to guarantee efficient support to the project office in the Gambia. These include: 
•    Provide general logistics support administrative support. 
•    Assist the Administrative Officer (Project Management Support) in managing the PMU   filing systems, correspondences and document control;
•    Prepare draft letters, reports, documents for planning of travel and mobilities;
•    Ensure the lay-out of documents and presentations, make corrections to texts;
•    Take care of the travel agenda (s) of project Manager and project team(s);
•    Support financial administration with tasks such as invoices related to travel and logistics
•    Any other assigned task. 

 

 

 

Profile

 

Degree

•    Bachelor (law, management, economics, public administration, etc. or in a field relevant to the position) or specialization in logistic;

 

Required experience

•    3 years in managing administrative and logistic tasks
•    Languages: English and possibly French, Mandinka, Wolof 
•    Very good knowledge of MS Office (Word, Excel, PowerPoint) and SharePoint

 

Specific competences or knowledge considered an asset:        

•    Change management methodology and risk management in the public or private sector are an important asset
•    Travel, logistic, visa processing capacity with frequent travel experience in the Gambia
