Your Key Responsibilities
1. Administrative & Financial Support
• Perform a wide range of secretarial duties: manage agendas, schedule appointments, draft meeting minutes, handle calls and correspondence.
• Provide operational support: manage files, archives, payments, invoices, and receipts.
• Assist with HR and protocol matters: staff registration, timesheets, leave tracking.
• Format internal and external documents according to Enabel’s branding guidelines.
• Maintain and update partner contact databases.
• Prepare routine correspondence and reports.
• Manage petty cash and ensure accurate reconciliation.
• Liaise with the landlord for office-related matters (maintenance, utilities, leases).
• Distribute office keys and maintain secure logs.
• Support inventory management: tagging, tracking, and updating office assets.
• Maintain both digital and physical filing systems via SharePoint for efficient record-keeping.
2. Event Coordination
• Serve as the go-to person for organizing workshops, retreats, and events.
• Handle budgeting, procurement needs, and coordinate with the procurement officer.
• Liaise with venues for logistics: space setup, guest management, IT needs, branded materials, and documentation.
• Ensure proper inventory and supply management for events and daily operations.
3. Travel Management
• Coordinate visa and work permit processes with local authorities.
• Provide travel guidance to staff: entitlements, routes, hotel arrangements.
• Manage travel authorizations, bookings, per diems, and ensure compliance with Enabel policies.
• Organize domestic travel for field visits and external meetings.
• Coordinate external transportation services for staff and guests.
Your profile
Required qualifications and exprience
• You hold a bachelor's degree.
• You have at least 2 years of experience in an administrative role.
• Whether you have 2 years or 20 years of experience, we’d love to meet you — as long as you also meet the following criteria :
• Proven experience in administrative support, ideally in an international or project-based environment.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal abilities.
• Proficiency in office tools and digital filing systems (e.g., SharePoint).
• A collaborative mindset and a commitment to continuous improvement.
• Result oriented;
• Fluent in spoken and written Arabic, excellent knowledge of English is required.

• You are employed by Enabel in the function of “Administrative Assistant”. A salary package that comprises the monthly gross salary in accordance with our salary scales (Classe 3) and Enabel benefits. The amounts vary in function of relevant recognised experience for the function and family composition.
